Verify the account
Return to AI Agent and confirm that the displayed Gmail account is active.
If you manage more than one account, verify the displayed email address before attaching the connection to an agent.
Configure email intake
Choose which emails become tickets
Open Configure Gmail and choose a filter preset or enter a custom Gmail search query. AI Agent turns matching threads into tickets.
Set the check frequency
Choose how often AI Agent should check the connected inbox, then save the intake settings.
Import recent email when needed
Choose Import last 10 emails to bring recent matching messages into the configured intake immediately.
Choose whether to draft replies
Leave auto-draft off when matching email should only become tickets. Turn it on to draft every reply or only replies the agent judges relevant.
Use Gmail with an agent
Open the agent, add the exact Gmail account, and review its tools. Begin with read access when the agent only needs to inspect messages or gather context.
Matching email becomes a ticket that you can review and reply to. When auto-draft is enabled, AI Agent prepares a reply for review in the Inbox before it sends.
Review drafts and sends
Creating or changing a draft and sending email change the connected Gmail account. AI Agent queues these actions for approval instead of applying them immediately.
Before approving, confirm:
- the connected Gmail account;
- every recipient, including CC and BCC;
- the subject and message body;
- whether the action creates a draft, changes a draft, replies in a thread, or sends email; and
- any attachments shown in the proposal.
Approve only when the account, content, and destination are correct. Reject the proposal and update the instructions when anything needs to change.
Disconnect or reconnect
Reconnect the account if its authorization expires or needs attention. Disconnect it when the workspace should no longer use that Gmail account. Agents using that exact connection will lose access.
